Response Action Training
Team Room Attachment Storage & Backup Policy
Effective September 25, 2026
Purpose
The RAT Team Room is for project communication and ordinary business files. It is not an approved system for highly sensitive, regulated or permanent records.
Allowed files
Members may attach project documents, drafts, approved images, training assets and operational records that the team is authorized to share.
Prohibited content
- Passwords, API keys, payment-card data or banking credentials.
- Social Security numbers, government identification or private medical records.
- Live ammunition records, security codes or information that creates a safety risk.
- Copyrighted or confidential material the member is not authorized to share.
- Malware, executable files or content unrelated to RAT work.
Storage and retention
Attachments remain available while needed for the active project. The designated Team Room administrator reviews old files quarterly and may remove duplicates, obsolete drafts or prohibited content. Final business records must also be saved in RAT’s approved long-term document system.
Backup standard
The designated administrator must export Team Room messages and attachments weekly and retain four rolling weekly backup copies in an access-controlled RAT storage location. A quarterly restore check must confirm that an exported message and attachment can be opened. This policy establishes the operating requirement; it does not represent that an automated backup system is already active.
Access and incidents
Access is limited to approved RAT project members. Lost devices, mistaken sharing, suspicious files or unauthorized access must be reported promptly to a RAT administrator. Administrators may remove access or files to protect the project.
Questions or requests may be submitted through the contact or scheduling form on the RAT website.
